Follow along for tips on how to take advantage of Field Maps\u2019 flexible task configurations and create workflows that better support your team\u2019s needs.<\/span><\/p>\n<h3>Basic Time Stamping<\/h3>\n<p><span style=\"font-weight: 400\">Tasks make it easy to time stamp actions. It may be valuable to know when assignments are started and completed as well as how long they take to complete. The following tutorial will walk you through how to configure a time stamping mechanism to document your tasks\u2019 start times, end times, and duration.<\/span><\/p>\n<h4>Setup<\/h4>\n<p><span style=\"font-weight: 400\">To get started, you will need to create three new fields for your task-enabled layer. You can do this by opening your tasks map in ArcGIS Field Maps Designer, navigating to the <\/span><b>Form <\/b><span style=\"font-weight: 400\">tab, selecting your task layer, and dragging and dropping <\/span><b>Form elements <\/b><span style=\"font-weight: 400\">from the <\/span><b>Form builder<\/b><span style=\"font-weight: 400\">. For this example, add two new <\/span><b>Date and time<\/b><span style=\"font-weight: 400\"> fields. Name one \u201cstart time\u201d and the other \u201cend time\u201d.<\/span><\/p>\n<p><span style=\"font-weight: 400\">Add a third field for the task duration. This could be a text field or a numeric data type depending on how you want to store the task duration value. Note that numeric data types can be further formatted for display on pop-ups or dashboards. For this example, use a double.<\/span><\/p>\n"},{"acf_fc_layout":"sidebar","content":"<p style=\"font-size: 0.85em;line-height: 1.4\"><strong>Note:<\/strong> There are many other ways to create new fields. In addition to the method detailed in this example, you can create new fields in ArcGIS Online through the layer&#8217;s <strong>Item Details<\/strong> page or in ArcGIS Pro via the layer&#8217;s attribute table. When creating fields for time stamping, you will want to make the data\/field type of these two fields something that stores date and\/or time information. Field Maps supports &#8220;date&#8221;, &#8220;date only&#8221;, and &#8220;time only&#8221; data types. The &#8220;date&#8221; data type stores both the date and the time. The following steps assume the default task configuration. The default Edit Actions are <strong>Pick up<\/strong>, <strong>Start<\/strong>, and <strong>Finish<\/strong>. Navigate to the <strong>In progress<\/strong> layout in the <strong>Tasks<\/strong> tab. Select the <strong>Finish<\/strong> action.<\/li>\n<li>Add an automatic update to the end time field. You can select the same <strong>&#8220;Current Time&#8221;<\/strong> expression you just created as the calculated expression.<\/li>\n<li>To populate the task duration field, add another automatic update to the <strong>Finish<\/strong> action. Select the task duration field and calculate a new expression. There are many different formats this field could take. The following implementation assumes that the <code>end_time<\/code> and <code>start_time<\/code> fields are of data type &#8220;date&#8221;. Type the following expression into the Arcade editor.\n<div style=\"text-align: center;margin: 18px 0 10px 0\"><code>DateDiff($feature.end_time, $feature.start_time, \"minutes\")<\/code><\/div>\n<div>This expression returns the task duration as a double representing the total number of minutes. There are different ways to call the <strong>DateDiff<\/strong> function depending on the data type of the fields being passed as parameters.<\/div>\n<div style=\"margin: 8px 0 0 18px;padding: 8px 12px;border-left: 4px solid #0079c1;background: #f5f5f5;font-size: 13px;line-height: 1.4\"><strong>Tip:<\/strong> You can use an Arcade expression in an activity log, <a href=\"https:\/\/doc.arcgis.com\/en\/arcgis-online\/create-maps\/configure-pop-ups-mv.htm\">pop-up<\/a>, or dashboard to format this value in many different ways. Arcade gives extensive flexibility to customize the format of your displays. Consider using the built-in ArcGIS <a href=\"https:\/\/doc.arcgis.com\/en\/arcgis-online\/reference\/understand-arcade-assistant.htm\">Arcade Assistant (beta)<\/a> to find a format that best suits your needs.<\/div>\n<\/li>\n<li>Be sure to save your changes. You\u2019ve now successfully set up time stamping and duration calculating for the start time and end time of your tasks.<\/li>\n<\/ol>\n"},{"acf_fc_layout":"sidebar","content":"<p style=\"font-size: 0.85em;line-height: 1.4;margin-top: 0\"><strong>Note:<\/strong> There are multiple ways to make these fields visible to your users. If you need them in the Form, be sure to make them Read-Only so they cannot be edited. If you would like them in the pop-up, they can be added to Field Lists or other pop-up elements. If they are only meant to be used in the back office, the fields can be excluded from the form and the pop-up but will still be populated using automatic expressions.<\/p>\n","image_reference":false,"layout":"standard","image_reference_figure":"","snippet":"","spotlight_name":"","section_title":"","position":"Center","spotlight_image":false},{"acf_fc_layout":"content","content":"<h3>Advanced Time Stamping<\/h3>\n<p>Time stamping can be applied in a similar manner to other task actions. You may want to add a time stamp for when a task is picked up or calculate how long an assignee held onto a task before beginning. More impactful time stamping configurations become available when looking beyond the default task configuration. You may choose to add flexibility to your workflow by <a href=\"https:\/\/mediaspace.esri.com\/media\/t\/1_us94981w\">adding a custom task status<\/a>.<\/p>\n<p>In some cases, you may want to allow assignees to decline a task. You can do this by adding a custom <strong>Declined<\/strong> status. Similarly, you can allow assignees to pause and resume work by adding a custom <strong>Paused<\/strong> status. When paired with timestamp fields, this status can record when a task is paused and resumed, calculate the total pause duration, and adjust the overall task duration by excluding time spent in the paused state.<\/p>\n<p>These are just a few examples of what you can accomplish with custom task statuses and activity logging. By following a similar workflow of adding fields, configuring automatic updates, and using Arcade expressions, you can capture timestamps and calculate metrics for virtually any stage of your task lifecycle. Consider what information would provide the most value to your organization and configure your workflow to capture it automatically.<\/p>\n<h3><strong>Activity Logging Summary<\/strong><\/h3>\n<p>You may want to take activity logging even further by creating a summary field for your task layer. You can use Arcade to configure your layer so that actions associated with a task are added to its log field in real time. This allows you to collect timestamped task actions all in one place. The output should be chronological and easy to read. Follow along to create an example of an activity logging summary field using the default task configuration.<\/p>\n<h4>Creating a log summary field<\/h4>\n<ol>\n<li>Add a new string field to your task layer. Give it a relevant name and increase the <strong>Length<\/strong>. For this example, name the field <code>activity_log<\/code>, and increase the length to 4000 characters.<\/li>\n<li>Navigate to the layer\u2019s <strong>Tasks<\/strong> tab in Field Maps Designer. Choose the <strong>Unassigned<\/strong> layout and click the <strong>Pick up<\/strong> action button to open its <strong>Properties<\/strong> pane. Add an automatic update to the <code>activity_log<\/code> field. Click the gear next to <strong>Calculated Expression<\/strong> and create a new expression. Give the expression a relevant name, such as &#8220;Log activity&#8221;.<\/li>\n<li>In the <strong>Arcade editor<\/strong>, you will assign corresponding task properties to variables and dynamically display them in a return statement. For this example, type the following text into the <strong>Arcade editor<\/strong>. Create a new <\/span><b>Automatic <\/b><span style=\"font-weight: 400\">update to the activity log field in the <\/span><b>Properties <\/b><span style=\"font-weight: 400\">pane. Click the gear to calculate an expression. You can reuse the \u201cLog activity\u201d expression that you created in the previous step.<\/span><\/li>\n<li><span style=\"font-weight: 400\">Repeat this process for the <\/span><b>Finished <\/b><span style=\"font-weight: 400\">action in <\/span><b>In progress <\/b><span style=\"font-weight: 400\">layout.<\/span><\/li>\n<li><span style=\"font-weight: 400\">Be sure to save your changes.<\/span><\/li>\n<\/ol>\n<p><span style=\"font-weight: 400\">To make the activity log more readable , you may want to add a pop-up element, formatted as a<\/span> <span style=\"font-weight: 400\">fields list. One advantage to this approach is it will be supported across the Esri ecosystem. By automatically capturing timestamps, durations, and task events, you can reduce manual documentation while gaining a clearer understanding of how work is completed.
