As a fundamental part of our team, you will bring your office management experience to assist and support our team. You will be the organizational interface to central departments like purchasing and IT, as well as support accounting and HR administration.

Responsibilities


  • Perform day-to-day operations to make our office a great place to work by taking care of the office condition, supplies, and equipment
  • Act as a first point of contact for visitors and take care of our hospitality management
  • Assist and support the whole team in daily business, for example travel planning
  • Serve as liaison with the administrative staff in Esri headquarters in California
  • Manage relationships with local vendors, service providers, landlord, and facilities
  • Provide orientation to new staff members
  • Provide backup for HR admin and accounting to support their functions when the assistant is not available
  • Partner with HR to support employer administration efforts and maintain office policies as necessary
  • Actively engage in data privacy management

Requirements


  • 2+ years of experience working in a similar position with office management, administrative, or assistant experience in a multinational company
  • Effective time management skills with the ability to multi-task and follow-up on multiple projects
  • Excellent verbal and written communication skills in German and English
  • Strong computer skills including usage of spreadsheet applications, word processing programs, and e-mail systems
  • Strict attention to detail including the ability to maintain a high level of accuracy in preparing and reviewing accounting information
  • Flexible working hours (60-80% time), yet required presence 4 days/week

Recommended Qualifications


  • Bachelor's degree or equivalent commercial education
  • Knowledge of human resources policies and procedures
