As a fundamental part of our team, you will bring your experience in office management and assistance to actively support and relieve the team. You will be the organizational interface to central departments like Purchasing and IT; supporting Accounting and Human Resources.

 

The ideal candidate will portray reliability, organizational talent, motivation, and service orientation. These attributes will help you develop your own area and put a smile on the team’s and our visitors’ faces.

Responsibilities


  • Day-to-day operations to make our office a great place to work through taking care of the office condition, supplies and equipment
  • Act as a first point of contact for visitors and take care of our hospitality management
  • Assist and support the whole team in daily business (for example, with travel planning)
  • Serve as liaison with administrative staff in Esri headquarters in Redlands, California and provide reports and information as needed
  • Manage relationships with local vendors, service providers, landlord, and facilities
  • Provide orientation to new staff members
  • Partner with Human Resources to support employer administration efforts and maintain office policies as necessary
  • Actively engage in data privacy management

Requirements


  • Proven office management, administrative, or assistant experience
  • Effective time management and ability to multi-task and follow-up on multiple projects
  • Excellent verbal and written communication skills in German and English
  • Strong computer skills including usage of spreadsheet applications, word processing programs, and e-mail systems
  • Strict attention to detail including the ability to maintain a high level of accuracy in preparing and reviewing accounting information
  • Flexible working hours, yet required presence 4 days/week

Recommended Qualifications


  • Bachelor's degree or equivalent commercial education
  • Knowledge of human resources policies and procedures
  • At least two years of experience working in a similar position, ideally in a multinational company
