Overview


Together, our administrative assistants work to gather and communicate relevant information, coordinate requests and approvals, and handle day-to-day office operations. We invite you to use your exceptional organizational skills and attention to detail to provide outstanding administrative support for talented and growing teams within the Software Development and Engineering division.

Responsibilities


  • Perform day-to-day operations to make our office a great place to work by taking care of the office condition, supplies, catering, vending, and equipment
  • Collaborate with global operations team on building related items to include interfacing with local landlord, procurement and vendor contract management, and helping coordinate work of contractors for office maintenance and enhancements
  • Act as a first point of contact for visitors and ensure successful meeting engagements
  • Assist and support the whole team in daily business to include answering and routing inbound calls, travel planning, and general administrative support
  • Coordinate with systems teams on acquisition of employee computer hardware
  • Provide orientation to new staff members
  • Partner with HR to support employer administration efforts, onboarding, legal requirements, payroll, and maintaining office policies as necessary
  • Actively engage in data privacy management
  • Serve as liaison with the administrative staff in Esri headquarters in California

Requirements


  • 2+ years of experience working in a similar position with office management, administrative, or assistant experience in a multinational company
  • Effective time management skills with the ability to multi-task and follow-up on multiple projects
  • Excellent verbal and written communication skills 
  • Strong computer skills including usage of spreadsheet applications, word processing programs, and e-mail systems
  • Strict attention to detail including the ability to maintain a high level of accuracy in preparing and reviewing accounting information
  • Excellent customer service, organization, communication, negotiation, and influencing skills
  • Available to travel to Cardiff and Barcelona R&D Centers if applicable
  • Educated to ordinary grade level standard or above or with equivalent of 5 years office management and/or reception experience
  • Experience of working with third party suppliers
  • Given the diversity of the responsibilities of this role, a large amount of flexibility and adaptability is required to be successful
  • Assist and collaborate with colleagues when necessary, or work on temporary projects outside of their usual role and within their domain of expertise

Recommended Qualifications


  • Bachelor's degree or equivalent commercial education
  • Knowledge of human resources policies and procedures
